Automations in Gemini Notebook (NotebookLM)

Learn how to add, configure, save, and run automations in Gemini Notebook (NotebookLM), with a daily research example.

Overview

Automations let ExtendLM run a sequence of actions manually, on a schedule, or when something changes. Use this guide to add your own automation, choose its steps, and control when it runs. A complete daily research example appears at the end.

Before you start

Enable ExtendLM and sign into the Google account you want to use. Choose the correct account for each notebook or AI service. Available actions and usage limits depend on that account.

1. Open Automations

Open ExtendLM’s extension popup, choose Manage Notebooks, then select Automations in the sidebar. The Automations tab contains your saved automations and their editor.

2. Add a new automation

Click New automation. Choose Blank automation to start from scratch, or select a template. Enter a name in the Steps tab. Templates provide linked steps; review their notebook choices, settings, and required inputs before saving.

3. Add and configure steps

Click Add step. Search the action list or filter it by section. Select an action, fill its required fields, and use Choose notebook when offered. Give each step a unique ID. Empty optional fields use their displayed defaults.

Use a field’s suggestions to select a run input or an earlier step’s output. Steps run from top to bottom; use the step menu to change their order. Save each step after configuring it.

4. Choose when it runs

With no triggers, the automation runs when you click Run. To start it automatically, click Add trigger, choose an event or a schedule, and configure the options and filters shown.

Schedules use your browser’s time zone and are checked every ten minutes while it is open. Choose whether to run once after a missed time or skip it. Keep your computer awake for scheduled runs.

Optional: add run inputs

Use Add input for values that change between manual runs. Set the type, required setting, and default, then connect the input to a step’s field. Scheduled runs need configured values or defaults.

5. Save and test

Click Save in the automation toolbar. Review and confirm any steps that delete or move data when prompted. Auto-save pauses for changes that introduce unconfirmed deletion steps.

Keep Enabled checked and click Run. Enter any requested inputs. Select the run in Runs to check each step’s status, and open Log for errors and details.

Optional: use an existing YAML automation

If you already have automation YAML, open the YAML tab and paste it. Review its notebooks, accounts, and steps, then save and confirm. The Steps and YAML tabs edit the same automation.

Manage the automation

Keep Enabled checked for future scheduled runs. Click a step or the trigger’s pencil icon to edit settings, then save changes. Clear Enabled to stop future triggers. You can also choose completion or failure notifications. Scheduled runs cannot ask you for values: configure step values or defaults for any run inputs.

Troubleshooting

If saving fails, check required fields and unique Step IDs. If Run is unavailable, save changes and check Enabled. For failed runs, inspect Runs and Log. For missed schedules, check the time zone, browser status, and missed-run setting.

Example: daily research at noon

This complete example uses a specified notebook: every day at noon, run Deep Research on a topic, generate a Report artifact, then delete the sources returned by research. The example topic is battery recycling; replace it with your own.

Keep ExtendLM enabled and sign into the Google account that owns the notebook. Create a dedicated notebook for this example. Deep Research and artifact generation use your NotebookLM account’s available features and limits. Scheduled runs need the browser open; your computer must be awake.

1. Create the automation

Open ExtendLM’s popup, open Manage Notebooks, and choose Automations in the sidebar. Click New automation, then Blank automation. In the Steps tab, enter a descriptive name, such as Daily noon research report. This example writes the notebook and topic into the steps, so no run inputs are needed.

2. Schedule it for noon

Click Add trigger. Choose On a schedule, set Repeat to Every day, and set Time to 12:00 PM (12:00). For a missed run, choose Run once when the browser is open again, or Skip it if you only want future runs. Click Add.

Times use your browser’s time zone. Schedules are checked every ten minutes while the browser is open, so a noon run may start after 12:00. Deep Research and report generation take additional time; noon is the start time, not the report delivery time.

3. Run Deep Research

Click Add step and select notebook.research.run in Research. Use the settings below. Click Choose notebook, select the correct account if offered, and select your notebook. In query, enter your topic; for example:

Step ID
:
research

source
:
web

mode
:
deep

Research recent advances in battery recycling. Focus on practical methods, new findings, and their publication dates.

In import, enter these two lines. They import discovered web sources and wait for them to finish processing. Then save the step.

strategy: urls
wait_until: ready

4. Generate a Report artifact

Add notebook.artifact.generate. Set the fields below explicitly, replacing any suggested source value. The expressions connect this step to the research step; copy them exactly, including the braces. Keep the Step IDs shown in this guide so the connections work.

Step ID
:
report

notebook
:
${{ steps.research.outputs.notebook }}

sources
:
${{ steps.research.outputs.imported_sources }}

kind
:
report

wait_until
:
ready

output_format
:
document

Leave output_format empty to use document, or select document explicitly. Optionally set language and prompt to request a concise daily briefing with key findings, publication dates, practical implications, and citations. Keep wait_until set to ready so the next step starts only after generation finishes. Save the step.

5. Delete the imported sources

Add notebook.source.delete as the last step. Use the same notebook and imported_sources expressions below. This scopes cleanup to the source list returned by the research step; do not replace it with every source in the notebook.

Step ID
:
cleanup

notebook
:
${{ steps.research.outputs.notebook }}

sources
:
${{ steps.research.outputs.imported_sources }}

Keep the research, report, and cleanup steps in that order. Leave Continue after an error off for research and report: if either fails, the run stops before cleanup. The generated report remains in the notebook.

Failed web imports can remain outside the research step’s returned source list. Check Sources after the run and remove any failed entries manually if needed.

6. Save and confirm cleanup

Click Save in the automation toolbar. Review the confirmation listing cleanup and notebook.source.delete, then choose Confirm and save. Auto-save pauses when a change introduces unconfirmed deletion steps; use Save to confirm them. Later runs perform the saved cleanup automatically.

7. Test the workflow

With Enabled checked, click Run for a manual test. Deep Research can take several minutes. Select the run in Runs and check that research, report, and cleanup finish successfully. Open ExtendLM’s Artifacts page to find the report. If necessary, fetch artifacts from all notebooks and search for your notebook or report title. Check that the imported sources were removed.

Manage Artifacts

Research or generation is unavailable: check your NotebookLM account’s access and usage limits. A stopped or failed run does not necessarily produce a report; inspect its result before running again.

Deleting sources is permanent and can prevent reopening the report’s underlying source material or following its citations. Remove the cleanup step if you want to keep that material.

Overview

Notebooks collect duplicate sources over time: the same web page added twice, a PDF uploaded again, or a copy of a text with small edits. Dedupe finds duplicate sources in a Gemini Notebook (NotebookLM) notebook and removes them, keeping one copy of each. It can find exact copies and, if you want, near-duplicates whose content is only slightly different.

Open Dedupe

From the dashboard

Locate the extension icon next to the address bar in your browser.
Keyboard Shortcuts for Gemini Notebook (NotebookLM)

Set keyboard shortcuts to add pages, PDFs, selected text and tabs to Gemini Notebook, save PDFs to your Library, open notebooks and generate artifacts

Overview

ExtendLM adds keyboard shortcuts for Gemini Notebook (NotebookLM): add the page you are reading to a notebook, save it as a PDF to your Library, send selected text or several tabs at once, open notebooks and ExtendLM pages, create a notebook, or open Generate Artifacts - all without opening the popup first.

The shortcuts are browser keyboard commands, so they work from any web page, not only from NotebookLM. No keys are assigned by default. You choose the key combinations for the actions you use most in your browser's shortcut settings.

Set your shortcuts

To open the keyboard shortcut settings, locate the extension icon next to the address bar in your browser. If it's not visible, click the browser's extensions icon to reveal it. Click on the ExtendLM icon to open the popup, then click Keyboard Shortcuts below Folders.

You can also open them from:

The ExtendLM dashboard: open the profile menu in the top-right corner and click Keyboard shortcuts.

Settings in the dashboard: the Keyboard shortcuts card lists every action with its current key. In Firefox, the same list is under about:addons > the gear menu > Manage Extension Shortcuts.

How the shortcuts add to a notebook

Shortcuts that add something use your saved notebook: the notebook last selected in the ExtendLM popup or in an Add to NotebookLM window, together with the Google account selected there.

Direct actions add to the saved notebook right away. Page actions also do nothing on NotebookLM itself, while selected text, screenshots, and prompts still work there.

Add the current page

Add page to NotebookLM (detects the page type, like the popup): the shortcut version of the popup's Add to NotebookLM button. It recognizes ChatGPT, Claude, Gemini, Perplexity and Grok chats, Reddit and X (Twitter) threads, Google Drive files, image and audio files, and YouTube videos, and adds each in the right way. Any other page uses the source type you last chose in the popup (PDF, HTML or URL). If no notebook is saved, the popup opens.

Add Page (URL) to NotebookLM: adds the page address. NotebookLM fetches the page itself; YouTube videos are added as YouTube sources.

Add Page (HTML) to NotebookLM: sends the page content as text, which also works for pages NotebookLM cannot open by URL.

Add Page (as PDF) to NotebookLM: prints the page to a PDF and uploads it. Useful for pages behind a login.

Download page as PDF: prints the page to a PDF and saves it to your computer.

Add screenshot of visible page to NotebookLM: captures what is visible in the tab and adds it as an image source.

Each Add Page and screenshot action also has an (open dialog) version.

When the add-page shortcut reads a Reddit or X thread, your browser must be signed in to that site. If the thread cannot be read, a message asks you to sign in and try again. Grok chats need ExtendLM to be allowed to access grok.com; allow it once from the popup.

Save PDFs to your Library

Three PDF actions decide whether a copy also goes to your ExtendLM Library:

Add Page (as PDF) to NotebookLM and save to Library: always adds the PDF to the notebook and saves the same PDF to the Library.

Add Page (as PDF) to NotebookLM, and to Library if enabled in the popup: saves the Library copy only when Save to Library is turned on in the popup.

Save Page (as PDF) to Library: saves the PDF to the Library only, without adding it to a notebook.

Library copies use the folder and tags chosen in the popup's Save to Library settings (the gear next to the checkbox). A client receives only the permissions shown on the approval page. A permission upgrade must be approved with the same ExtendLM account that authorized the original MCP connection. If a different account is signed in, switch back to the original account or create a separate MCP connection.

Security: Use only MCP clients you trust. Never give an AI client your browser cookies, ExtendLM password, Gemini Notebook credentials, OAuth tokens, or extension connection identifiers. Authorization should happen on the ExtendLM approval page opened by the client.

Test the connection

After setup, start with a read-only request:

Check my ExtendLM connection and list my Gemini Notebook notebooks.

Show the Gemini Notebook accounts available to this connection.

List the sources in my Market Research notebook.

The agent should check the extension connection and use the exact NotebookLM account selection returned by ExtendLM. Account index
0
is valid; clients should never guess another account index.

Example requests

You can talk to the connected AI agent naturally. For example:

Show my notebooks updated this week.

Summarize the sources in my Product Research notebook.

Compare the conclusions in the 2024 and 2025 annual reports.

Ask my Customer Research notebook what users mention most often and include citations.

Set the chat response length in my Project Research notebook to shorter.

Generate an audio overview from the selected sources.

Start deep research on this topic and tell me when it is complete.

Export the latest slide deck as PPTX and give me a download link.

Read-only requests generally need fewer permissions. Requests that change notebook chat settings, delete a chat, generate an artifact, run research, or export content may trigger an additional authorization step.

Keep long-running operations available

Generated artifacts, research tasks, and temporary exports may need the browser and extension connection to remain available. Export download links and MCP resources can expire, so save completed files promptly. Depending on format and size, an export may be returned inline or as a downloadable resource link.

Manage or revoke access

Return to ExtendLM Settings → MCP to review authorized clients and their approved permissions. You can revoke one client, revoke all clients, or disable MCP. Disabling MCP immediately revokes every authorized client; you can enable it again later.

The optional Share NotebookLM account emails setting controls whether clients can see account email addresses. Account indexes remain available even when email sharing is disabled.

Troubleshooting

Tools are visible but calls fail: Open the browser and ExtendLM extension, confirm both logins, enable MCP, and check that the extension connection is Connected.

The client requests authorization again: The selected tool may need an additional permission. Open the authorization link, review the new grant, and retry after approval.

The authorization page shows an account mismatch: Sign in with the ExtendLM account originally used for that client, or cancel and create a new connection.

The wrong NotebookLM account is used: Ask the client to list available NotebookLM accounts and select the advertised account index. Do not invent an index.

A download link expired: Request a new export or resource link and save it promptly.

A client remains disconnected: Revoke it in ExtendLM MCP settings, remove the server from the AI client, and connect it again.

Related

For a broader introduction to the extension, see Quick-Start with ExtendLM. If a problem continues, contact support@extendlm.com.

ExtendLM MCP is built with privacy and security in mind: Gemini Notebook (NotebookLM) content that passes through the MCP server is not stored there and is relayed directly to the MCP client you authorized, within the permissions you approved.

Use ChatGPT with Gemini Notebook (NotebookLM)

Connect ChatGPT to Gemini Notebook (NotebookLM) through ExtendLM MCP and use your notebooks from ChatGPT.

Overview

You can connect ChatGPT to ExtendLM through the Model Context Protocol (MCP) and use ChatGPT to work with Gemini Notebook (NotebookLM). After you approve access, ChatGPT can call the ExtendLM tools covered by your authorization grant.

The MCP connection is different from importing an existing ChatGPT conversation as a notebook source. MCP lets ChatGPT operate on your notebooks; the ChatGPT chat-import feature copies previous conversations into a notebook.

Beta: Developer mode and Plugins availability can vary by ChatGPT account and workspace policy. ExtendLM MCP is currently in beta.

Before you connect ChatGPT

Install the ExtendLM browser extension.

Keep the supported browser running.

Sign in to ExtendLM and Gemini Notebook (NotebookLM) in the same browser profile.

Use a ChatGPT account or workspace with access to Developer mode and Plugins.

Enable MCP in ExtendLM

To open the Notebooks Management dashboard, locate the extension icon next to the address bar in your browser. If it's not visible, click the browser's extensions icon to reveal it. Click the ExtendLM icon to open the popup, then click Manage Notebooks.

Open MCP Settings page by clicking on the profile icon located top right, and then on Settings. In the settings page scroll down to the MCP section.

Turn on Enable MCP.

Confirm that Extension connection shows Connected. If it is disconnected, keep the browser open, confirm both logins, and reload the page.

Create a new plugin with an ExtendLM custom connector

ChatGPT uses Plugins for custom MCP connections. First enable Developer mode, then create a plugin and add ExtendLM as its custom connector.

In ChatGPT, open Settings → Security and login and turn on Developer mode.

Open ChatGPT Plugins and select the + button to create a new plugin.

Enter ExtendLM Gemini Notebook as the name.

Under Connection, under server URL enter
https://mcp.extendlm.com/mcp
.

Click on 'Create' to create the connection and complete the ExtendLM OAuth authorization in your browser.

Authorize ChatGPT

On the ExtendLM authorization page, sign in with the same account that enabled MCP. Review the requested grants carefully and approve only the permissions you want ChatGPT to use.

ChatGPT may request another authorization later when a tool needs a permission not included in the original grant. Permission upgrades must use the same ExtendLM account as the original authorization.

Start a chat with Gemini Notebook

Open the ChatGPT Plugins page.

Select Personal.

Click ExtendLM.

On the ExtendLM plugin page, click Try in Chat.

If ChatGPT asks you to connect ExtendLM, click Connect to make it available in the chat.

This opens a conversation where ChatGPT can use ExtendLM to work with Gemini Notebook within the permissions you approved.

Confirm the connection

In the new chat, confirm that ExtendLM is connected. Begin with a read-only request:

Check my ExtendLM connection and list my Gemini Notebook notebooks.

For the latest information about connecting an MCP server to ChatGPT, see OpenAI Docs: Connect and test your plugin.

Connect Codex to ExtendLM

Codex CLI and the Codex IDE extension share MCP configuration. Add ExtendLM and start OAuth authorization with:

codex mcp add extendlm --url https://mcp.extendlm.com/mcp
codex mcp login extendlm

Complete approval in your browser. Verify the connection with
codex mcp list
or open
/mcp
inside Codex.

OpenAI Docs: Connect Codex to MCP servers

Sample ChatGPT queries

Explore your notebooks

List my Gemini Notebook notebooks and show which ones were updated most recently.

Show every source in my Competitive Analysis notebook and group them by type.

Give me a short description of my Climate Policy notebook.

Ask notebook questions

Ask my Meta Research notebook how advertising impressions and price per ad changed, with citations.

Compare the conclusions of the selected sources and identify conflicting evidence.

Answer using the notebook only and tell me which sources support each conclusion.

Configure and review content

Set the chat response length in my AI Regulation notebook to shorter.

Show the latest chat from this notebook and extract its unanswered questions.

List the source labels in this notebook and show which sources use each label.

Generate and export

Generate a briefing document from the selected sources.

Create a quiz covering the main concepts in this notebook.

Export the latest report as PDF and give me a download link.

Read-only work usually needs fewer permissions. ChatGPT may ask for additional approval before it changes notebook chat settings, deletes a chat, researches, generates, or exports content.

Troubleshooting ChatGPT

Plugins or Developer mode are unavailable: Check your ChatGPT account and workspace policy.
